Halloran is looking for an Office Manager to join our fast-growing consulting firm. In this role, you will perform complex and diverse duties in support of the office by providing administrative support for SG&A and Consulting team, anticipating and initiating actions regarding office operations which require in-depth knowledge of the Halloran. This role requires interpretation and resolution of highly varied situations and problems, and may function as a high-level individual contributor or coordinator of multiple projects.

Role Responsibilities:

  • Facilities Management
    • Manages sublease with tenant
    • Acts as a main contact for the maintenance of three floors of office space
    • Ensures office efficiency and adherence of procedures and systems, including managing the parking process
    • Coordinates with building staff and communicates to internal staff about repairs, cleaning procedures, and other building-related issues
  • Vendor Management
    • Acts as main contact for supply vendors, responsible for staying within budget and following budgetary guidelines
    • Monitors and maintains supplies and snacks inventory
    • Supervises the maintenance of office equipment, including copier, fax machine etc
    • Monitors and orders inventory
  • Reception
    • Answers phone, follows-up with inquiries, directs client calls to appropriate resource
    • Greets guests, connects them to host, and provides onsite support
    • Receives packages, faxes, and mail; distributes or follows up as necessary; processes FDA correspondence
  • Administrative Support
    • Provides general administrative support to consultant team
    • Supports HR with candidate travel logistics, and staff gift management
    • Responds to internal inquiries requiring an in-depth understanding of Halloran’s processes, takes ownership of inquiries by providing explanations and instructions in a thorough and timely manner
    • Provides light administrative support to Chief Financial Officer
  • Meeting Coordination
    • Contributes to the planning and execution of quarterly staff meetings, monthly staff lunches and employee morale events
    • Schedules diverse and complex internal and external meetings, managing the required space, audio visual needs, including travel accommodations for guests. Sets up and breaks down conference space
    • Performs other related duties as required, including work performed at lower levels, when necessary.

Education and Experience Requirements:

  • Minimum 4 years of professional administrative experience
  • Experience in life science or client service organization a plus
  • Proven scheduling and calendar management skills
  • Demonstrated ability to coordinate, prioritize and handle multiple priorities and projects simultaneously
  • Proven ability to be action oriented, self-motivated with track record of being an enthusiastic and effective team player with experience leading and influencing others to ensure successful outcomes
  • Ability to navigate organization with minimal direction, in support of completing tasks
  • Proactively communicates timetables for completion of tasks
  • Must be dependable, organized, self-motivated and goal oriented
  • Demonstrated outstanding oral and written communication skills
  • Flexibility to accommodate constantly changing environment
  • Requires interpretation and resolution of highly varied situations and problems
