Halloran is looking for an Office Manager to join our fast-growing consulting firm. In this role, you will perform complex and diverse duties in support of the office by managing a variety of aspects of the day-to-day operations of Halloran, including managing key stakeholder relationships, providing administrative support to Selling, General and Administration (SG&A) functions, and planning and executing company-wide events. Additionally, you will serve as the face of our Boston-based organization, managing the activities of the front of office. This role requires a high level of interpersonal skills, self-organization and a passion for continuous improvement and follow through of proposed improvements.

Characteristic Duties:
  • Ensure upkeep, maintenance and continuous design improvement of three floors of office space by coordinating with building staff for repairs and with design vendors for periodic updates of layout and workstations
  • Manage relationships with external parties, including tenants of Halloran’s sublease, preferred hotels, supply vendors, and cleaning crew, ensuring that service is provided regularly while also adhering to budget
  • Ensure Halloran company directory is updated and accurate in electronic systems, including maintenance of floor plans and other office-related resources
  • Liaise with IT and other stakeholders as appropriate to ensure proper maintenance of office equipment, and liaising with Finance to propose upgrades or replacements when appropriate
  • Provide administrative support to Halloran’s Chief Financial Officer, including calendar management, travel and expense reporting, and other duties as assigned
  • Oversee the front of office, serving as the face of Halloran, including reception duties, managing physical and electronic mail (faxes), including confidential correspondence from the FDA
  • Welcome and assist any office visitors
  • Provide administrative support to broader consultant team, including managing Halloran’s parking program and process, and keeping up-to-date inventories of office supplies
  • Partner with Human Resources to manage the candidate experience, including coordinating onsite interviews and associated travel logistics, and ensuring timely processing of reimbursements and expense reports
  • Partner with Human Resources and Halloran Culture Committee to support employee onboarding and engagement activities and initiatives
  • Serve on Staff Meeting Planning Committee, helping to plan and execute quarterly staff meetings and social events, as well as preparing and reviewing PowerPoint slides for company-wide presentations
  • Coordinate monthly staff luncheons, including Home Base days and employee morale events, partnering with outside vendors
  • Plan and organize internal and external meetings of a diverse and complex nature, including ensuring that all travel, facility, and audio-visual needs are accounted for and executed properly
  • Identify and propose opportunities for improvement of all the above duties through continuous monitoring, analysis, and evaluation
  • Manage any projects that are associated with any approved improvement opportunities and keep relevant stakeholders informed of the progress of these projects
  • Other duties as assigned



  • A minimum of five years of professional administrative experience is required
  • Proven organization skills including scheduling and calendar management
  • Demonstrated ability to coordinate, prioritize and handle multiple priorities and projects simultaneously
  • Proven ability to be action oriented, self-motivated, and an enthusiastic and effective team player with experience leading and influencing others to ensure successful outcomes
  • Ability to initiate and execute projects with minimal direction
  • Proven ability to proactively communicate timetables for completion of tasks
  • Dependability and flexibility to accommodate constantly changing environment
  • Demonstrated outstanding oral and written communication skills
  • Sensitive and thoughtful interpretation and resolution of highly varied situations and challenges


  • Experience in life science or client service organization
